Managing a Last-Minute Schedule Change

Neither point guarantees that a particular shift can be moved.

Check the agreement first

The volunteer should review the existing agreement and schedule confirmations for:

  • The name and contact details of the support person.
  • Any stated notice or cancellation requirements.
  • Whether flexibility applies to the time, place, or volunteering arrangement.
  • Any instructions for handling an urgent change.

If no support person is named, the volunteer should locate the relevant contact through the information already provided for the arrangement. If no contact information is available, that gap needs to be resolved before assuming that a schedule change will be accepted.

Ask what options are actually available

The volunteer should explain the change clearly and ask whether another time or place would be workable under a flexible arrangement. The response should confirm the practical details rather than rely on a general promise of flexibility.

NCVO’s statements about named support and flexible volunteering do not establish a universal notice period, rescheduling window, or consequence for a late change. They also do not confirm that contacting a support person preserves the original slot or guarantees another assignment.

What still needs confirmation

Before changing plans, the volunteer should obtain direct confirmation of:

  • Whether the original arrangement must be cancelled or released.
  • Whether an alternative time or place is available.
  • How quickly the organisation can respond.
  • Whether the planned task or location remains suitable.
  • Whether the change affects any conditions stated in the agreement.

If those points are not confirmed in writing, the volunteer should treat the original arrangement as unchanged unless the relevant contact says otherwise.
